WORKFLOW
- CAPTURE
- Capture your thoughts in the Idea Funnel (either on the Dashboard or on its dedicated View subpage).
- Each new entry acts as the title of a new page.
- Click on OPEN and you can enter the page to begin writing text.
- Choose from one of the predefined templates or simply use an empty page.
- ASSIGN
- When your idea is ready to be worked upon, select a Platform in the Platform column (such as đ, Medium or LinkedIn).
- This will move your content from the Idea Funnel to the selected platform view.
- For example, a quick thought might work well as an đ post but a more complex thought would work better as a Medium story.
- DRAFT & PUBLISH
- When youâre ready to write, open up one of the entries and type away to your heartâs content.
- Once the content is ready, simply copy paste your work to the relevant website.
- Depending on whether your content gets scheduled, submitted or posted immediately, you can update the content date accordingly.
- This action populates both the monthly and weekly calendar views on your dashboard.
- RECORD & ANALYSE
- Once published, fill out additional data such as post earnings, content topic, URL, likes, comments, etc. (you can always create new custom properties in the tables).
- The more data you collect, the more insight youâll have on whatâs working and whatâs not.
- Notion tables can be exported as CSV files and imported to Excel or Google Sheets for further analysis.
BEST PRACTICES
- All of the content is stored within the Databases page. The various views you see throughout the Content HQ are synchronised copies of these databases. Do not delete the âDatabasesâ page or its subpages or you will lose everything!
- Do regular backups of your content by exporting your data from your Notion workspace (see Settings > Export content).
- Set the Dashboard page as a favourite and drag it to the top of your favourites list. Set your Notion desktop app to open at the top page. Go to My Settings > Open on start > âTop page in sidebarâ.
- Install the Notion app on your phone and put a âQuick Noteâ widget on your home screen. Set the default page to your Idea Funnel page. This is a quick and efficient way to capture content ideas while youâre out and about.
- Never upload anything personal to your Notion workspace. We can assume that content scheduled to be posted on social media platforms is by default public knowledge. However, Notion does not provide end-to-end encryption, so it is better not to upload private information to their servers (bank details, personal identification, passwords, etc.).
- If you want to stay on track with your publication schedule, add an â@â anywhere in your contentâs page. This enables you to set a reminder for that specific page which will notify you on your phone and desktop. When setting up the reminder:
- choose a date,
- select âInclude timeâ and set a time,
- click âRemindâ and select âAt time of eventâ.
